Share a link to the registration form

Once you have added the structures participating in your event, you can share a link with them so that participants can register.

There are two options:

Share the link to the registration portal: this link allows structures' coordinators to log in to their personal space, where they can register their participants, check the status of their accreditation requests and view information on meals, material items and accommodation, if you wish to make this information visible.

To connect to the registration portal, coordinators must use the same e-mail address as indicated on their contact sheet.

Share the direct participant registration link: this link allows participants from a structure to register themselves, rather than being registered by a coordinator. Participants who register via the direct link only have access to information relating to their own request. They cannot view the requests of other participants from their structure.

The coordinators of a structure have access to information about all participants in their structure, including those who registered via the direct registration link.

Link to the registration portal

You will find the link to your event in the menu Participant Space > Appearance. This link consists of your organization's portal URL and the event ID. You can customize your event ID (the last part of the link) by clicking Edit. It must contain at least 3 characters: letters, numbers, or hyphens, without starting or ending with a hyphen.

This link is the same for all structures, you can therefore send one email to all the coordinators of your structures containing this same link. Each coordinator will be able to log in to their personal space via this link to register participants from their structure(s).

If multiple participant categories are authorized for a structure, the coordinator can choose the category of each participant they wish to register in order to access the registration form corresponding to that category.

If direct participant registration is enabled, the coordinator can also choose to share the direct registration link with their participants so that they can register for the event themselves.

Direct participant registration link

Direct registration allows participants to register for the event themselves, rather than via the structure's coordinator. You can enable direct participant registration for the structures of your choice, according to your needs.

To enable direct registration for one or more structures, go to the list of structures of your event, select the relevant structures, and use the grouped update function. Once direct registration has been enabled, the structure coordinators will find a link in their personal space that they can share with their participants. You can also find this link in each structure's sheet.

The direct registration link is specific to each structure: participants who register via the direct link will automatically be attached to the corresponding structure.

To obtain the direct registration link for a structure, go to the structure's sheet, in the Participant registration settings section.

In Registration links, you will find the direct registration link for participants, specific to the structure. You can disable this link if you want registrations to be made exclusively by the structure's coordinator.

Modify the direct registration link for a structure

To generate a new direct participant registration link for a structure, go to the structure's details, in the Participant registration settings section, and click on Registration links: share.

Then click on Generate a new link - the old direct registration link will no longer be active.
