The registration portal is the page that allows your events' participants to register, follow the status of their request, view information about their participation, and communicate with your organization via messaging. In your organization's registration portal, participants will find all your organization's events for which they are registered, and will therefore be able to access their participant space for each event.


Participants can register themselves or be registered by their structure's coordinators. To allow participants to register themselves, you must activate the direct registration link. If the direct registration link is not activated, only the structure's coordinators will be able to register participants.


To log in to the registration portal, the participant or coordinator must enter the same email address provided in their contact sheet. They will then receive a verification code to log in. Once logged in, the participant or coordinator can change their email address if necessary.


To obtain the link to the participant space of your event, go to Participant Space > Appearance. You can also go directly to your portal by clicking on the shortcut on your event's Dashboard.






Configuring the participant space


To configure your participant space, go to Participant Space > Appearance. You can edit the link to the participant space, add a banner, and choose the information that participants will be able to view in their personal space.





Event URL


The link to your event's participant space is composed of your portal's domain name, defined in your organization space, and your event ID (last part of the link). You can customize your event ID by clicking on Edit. It must contain at least 3 characters: letters, numbers, or hyphens, without starting or ending with a hyphen.



Graphic customization


Choose a background image and banner image to customize your portal with your event's branding. The background image is displayed when participants register via the direct registration link, while the banner is displayed in the participant space.



Information to be displayed on the registration portal


Click on the Edit icon to select the meals, material items and parking spaces you wish to make visible on the personal space of structures and participants. You can also activate or deactivate the display of accommodation reservations.




In the participant space, only the meals, material items and parking spaces you have selected will be visible to the participant or structure's coordinator. The number of meals, material items and parking spaces shown in the participant space only takes into account the elements displayed.


Highlights


Highlights allow you to highlight key moments of your event in the participant's agenda: opening and closing ceremonies, special activities, briefings, etc.



  • To create highlights for your event, go to Participant Space > Highlights and click Add.


  • Enter the title, start and end date/time, description, and any related attachments.
  • Change the status of the highlight from “Draft” to “Published” when you want to display this highlight in your participants' schedules.


You can set display rules to target the relevant participants: only participants who meet all the conditions will see the highlight in their schedule. You can use category, structure, and participant tags as display conditions, or different custom information fields from your participant sheet.



Sharing documents


To share documents with your participants via their personal space, go to Participant Space > Documents and add the documents you want to share.


You can limit the sharing of certain documents to participants from structures with a specific tag.
