Structures are the entities that take part in your event: companies, individual businesses, associations, local authorities, etc. To manage the structures involved in your event, go to Registrations > Structures in the side menu.


Each structure will have access to their personal space in your registration portal to register participants for your event, according to the rules that you define.







Add a structure to an event


  • To add a new structure to your event, go to the Structures menu and click on Add
  • You can add an existing structure from your organization's database, or create a new one. The name of each structure must be unique.
  • In the structure details, you will be able to access its list of participants and configure its settings.
  • To create structures in bulk from an existing file, you can use the structure import feature.




List of structures


  • Click on the Add/Remove Columns icon to choose which information you wish to display or not. Click on the column titles to sort the list in ascending or descending order.
  • Click on a structure in the list to view its settings and list of participants.






Advanced filter


Use the advanced filter to combine several search criteria to find exactly the items you are looking for.

For each field (e.g. “creation date”), you must select a condition (equal to, less than, etc.) and the values to be checked. You can combine several criteria by using the AND or OR operators.






Grouped updates


From your list of structures, you can easily make grouped updates: select the structures you wish to update and click on the Grouped update button in the menu at the bottom of the page. You can then select the fields to be updated and specify their values.





You can update tags, authorized services and categories, the limit of participants per day or the welcome message.





Assigning authorizations to a structure



To enable coordinators and participants to create and/or modify registrations, these services must be authorized to the structure. To do this, go to the structure's sheet > Registration settings. You can also modify the services authorized for several structures at once, using the grouped update feature.



Tip: if you have set a deadline for registrations, once this date has passed you can disable the authorization to create registrations for all structures, via the grouped update. This will prevent structures from registering new participants.


By default, coordinators are allowed to share a link with their participants so that they can fill in the registration form themselves. If you don't want participants to be able to register themselves, you can disable the structure's direct registration link in the structure's sheet. Click on Share registration link, then disable the Direct registration option.




Import structures from an excel file


The Import button at the top of the page allows you to create structures in bulk: download the template file, fill it in, then select the file to import your list of structures.


Please be sure to spell the names of your participant categories correctly. You can add several categories in the “Authorized categories” column, separating them by semicolons.





Check that the columns in your import file are correctly associated with the fields of the structure sheet. If some data is not in the correct format, the column is marked with an alert icon: hover over the icon to obtain more information on the error.





Export the list of structures


The Download button at the top of the page allows you to export your list of structures in Excel format.



Delete a structure from an event


  • To delete a structure from an event, go to Registrations > Structures in the side menu
  • Click on the additional menu (3 vertical dots icon) and select Delete


When you delete a structure from an event, all participants in that structure and associated accreditation requests and services are also permanently deleted from the event. The structure and participants are not deleted from your organization's contact database.
