Structures


Structures are the entities that take part in your events: companies, individual businesses, associations, local authorities, etc. Each structure may have one or more coordinators: coordinators have access to the portal allowing them to submit accreditation and service requests for all participants associated with the structure.


The coordinators can be present at the event or not. If they need to be accredited, they must be registered as participants.



Contacts


Contacts are the individuals who take part in your events. They may belong to one or more structures, as coordinators and/or members.

In your organization space, you will find a list of all your contacts, who can be registered for your events as participants.



Participants


Participants are the contacts who will attend your events. They must be accredited and may have access to different services. For each event, participants are linked to a structure and belong to a specific category. In the participant sheet, you will find all the information about participants that you have entered or collected via a registration form. When the participant's email address is entered, they can access their personal space on the registration portal.




Participant categories


Categories are the different types of participants who may be present at your event: suppliers, artists, guests, journalists, etc. In the parameters of your event, you can list the different categories of participants that can register for your event and you will be able to associate a registration form with each category.


Participant registration


Participants can be registered for your events in different ways:


Registration by event organizers

As an organizer, you can register your contacts yourself as participants in your events.


Registration by the structure's coordinators

Some structures may prefer to entrust participant registration to a third party, the structure's coordinator (the team leader, someone from the administrative department, etc.). The coordinator can register the structure's participant via the registration portal.


Direct registration by participants themselves

In other cases, it may be more convenient for participants to register themselves, rather than giving their information to a third party (coordinator). If direct registration is allowed for the event, the organizers or the structure coordinator can share a direct registration link with participants so that they can fill out the registration form themselves.


Even when participants register themselves, the coordinators of the structure always have access to the participants' information and can intervene in exchanges via the messaging system.
