Configuring material items

When you create a material item, you can configure the quantities to be distributed, the unit price, the attributes to be considered and the eligibility conditions. You can access the item configuration at any time by clicking on it.


The quantity to be distributed is mandatory, but the other fields are optional: unfold the optional information. menu to view these fields.



Quantities to distribute and frequency


In quantities to distribute, you can specify the number of items to be distributed to participants, as well as the frequency: either a quantity per day of attendance (e.g.: several protective masks per day, one T-shirt every 2 days), or a unique distribution for the entire duration of the event (e.g.: when participants arrive, they receive 2 T-shirts).


The quantity can be entered manually, or you can obtain it from an information field in the participant sheet.


If you choose manual input, this quantity will apply to all participants who meet the item's eligibility conditions. In the example below, all eligible participants will receive 2 items per day of attendance.



If you use a participant information field to specify the quantity, then the quantity will vary from one participant to another, depending on what is indicated on each participant's information sheet. Only number-type information fields can be used to specify the quantity. In the example below, each participant will receive a fixed quantity for the entire event, as indicated in the field “invitation quantity” in their profile. This information may be requested in the registration form, or filled in directly by the organizer.



If you wish to limit the distribution of an item to a specific period, for example a pair of safety gloves per day but only during the event set-up phase, select the option Restrict to a list of dates.



Unit price


Use the unit price field to estimate the cost of your items and keep your budget under control.



Cashless credits


Use this field to indicate the value to be credited if your material item is managed in the form of cashless credits (dematerialized payment wristbands, for example). If you use Qomeet in connection with tools that manage cashless solutions, this information can be sent automatically to your cashless tool. Attribute


In the attribute field, specify the information to be used to manage item variations (e.g. for clothes, you may need to know the size), and Qomeet will calculate the required quantities for each variation. This information must be collected in advance from your participants via the registration form.



  • Create a participant information field corresponding to the attribute of your item: t-shirt size, shoe size, etc. The information must be a single-choice drop-down list in order to be used as an endowment attribute.


  • To collect this information from participants, add a question associated with this information to your registration forms.


Eligibility conditions


In the item details, you can specify the conditions that participants must meet in order to obtain a particular material item. If you do not set any eligibility rules, all your participants will be entitled to the item.


Participants must meet **all **conditions to be entitled to a material item.



You can add conditions related to the tags (structure, category or participant). For example, you can specify that a courtesy gift will be distributed to all participants belonging to a structure with the tag “Partnership”.



The conditions can also be related to participant information: for example, you can provide a parking pass to participants who answered “yes” to the question about parking needs. To do this, select the desired information field and specify the value or values to be met in order to be eligible for the article.
